This resource is to help you quickly navigate issues you may encounter while using Experiential Learning Cloud. Students can also access videos to assist them in resolving issues via the WVU School of Social Work training page.

Login in Experiential Learning Cloud
To login to WVU School of Social Work Experiential Learning Cloud System you need to go to https://wvussw.tevera.app/#/logon. You will then see:
If you don’t see West Viriginia University you are in the wrong login site.
Your username is the email address used to set up your Experiential Learning Cloud account. Your password was the password you used when you created your account. If you forgot your password, you can click the forgot password link and you will be directed to a page to change your password.
For individuals who use assistive technology, the mobile site is a better resource. To access the mobile site you simply click the go to mobile site at the bottom of the main login page.

Browsing Placement Sites
Early in the placement process students can explore agencies that WVU School of Social Work have worked with in some capacity to identify potential placement sites. To access these sites you will login to your Experiential Learning Cloud Page. You will see this:
This task will focus on the Site Placements and you will click the ‘My site placements’
A new window will appear and you will see (make sure you click the My sites button)
You will then click on Browse all program sites. Once you click that button, you will then see
You can use any of the buttons at the top to narrow down your search.
Completing Pre-Placement Tasks
Afte the field briefing and prior to meeting with their field coordinator students must complete two preplacement tasks (upload a resume and complete placement application). To access these tasks students will login to Experiential Learning Cloud and go to their site placement tab
Once you click on my site placements you will see
You need to make sure you click on the placement process you are in (for this example ‘SW ONLINE ADVANCED’)
You will then see
Students will click the ‘not started’ button next to the field placement application. A new window will open and you will see a button that says start. You click start and the application will open. PLEASE NOTE, the last part of the field application requires you to list sites that you are interested in for placement. You will need to have these sites identified and listed on the application in order to submit it.
You must also upload your resume in a PDF Form. If you need assistance with a resume, you can use the template developed by WVU Eberly Career Services to help you build your resume.
Tracking Hours in Experiential Learning Cloud
As students begin placement, they need to begin to log their hours. Students will log hours in Experiential Learning Cloud. This section will review how students input hours into Experiential Learning Cloud and will then review their monthly time report (which is due on the 5 th day of the month following service).

To start tracking time, students will log into Experiential Learning Cloud. Once logged in they will see
Students will click on the area under time sheets that says enter time and will then see a page that looks like this
To Enter a time students will click on the calendar at a day and time they wish to log field hours. A pop up window will open that looks like
Students will input all the required data and once done click the x in the top right hand corner of the pop up. This will close the window, and students should see their time entry on the calendar.
At the end of the month students will need to complete a monthly time report that will be signed by the students, their site supervisor (if applicable), and field instructor. This form will be submitted to the faculty field liaison who will review and sign the document if they approve.
Submitting a monthly time report
Students will log into Experiential Learning Cloud and see
Students will then clock on the complete assignments tab under the assignments section of the main page. Students will then see something similar to
To submit your time sheet you will find the hours report to the corresponding month and click the not started button to the right of that document. You will then new section that will have a green button that says Start. Click start and you will get a pop up that looks like
We will then go through each section inputting the data.
Date Range: You will click on this section and input the time you wish to record Typically students record one full month (ie 6/1/26-6/30/26).
You will next select the track. The drop down should have the current track (type of placement you are in such as Online Generalist Placement).
Next will be selecting your site supervisor (if applicable) and field instructor for signatures. This is a bit tricky and where students sometimes have problems. If you have a site supervisor you click on the drop down box and pick your site supervisor. You then need to add your field instructor. To do that you will click on this same box and now select your field instructor. Both names should appear side by side in the box. If you only have a field instructor you will just select that person in this area.
Next you will select your field faculty liaison (person who teaches your field class). After that is done you will select program (social work). If all fields are complete, you will then see two buttons: Generate pdf and submit for signatures. It is suggested student generate the pdf to check that their time is accurate. If the time is accurate you can then click submit for signatures and the document will automatically move through the approval process.
At times you may submit an assignment that you need to make changes on and/or a supervisor may request changes. This typically occurs with time sheets so we will review how to make changes in the next section.
Correcting or Resubmitting Tasks
If you realize you made a mistake that needs corrected an approver on your team has requested for you to make changes you can easily complete this task in a few small steps.
If you realize you make a mistake on an assignment and need to make changes, you simply click on that assignment in Experiential Learning Cloud and you will see a button that states “make changes”.
Once you click on make changes you will see a pop up that asks if you are sure you wish to make the changes. If you click yes, the document will return to the in progress state and you can simply make the changes.
At times (especially if a document was already signed) you will see a pop up that asks if you wish to submit a request to reopen the assignment. You will need to click yes. An alert will then be sent to the field faculty liaison asking them to reopen the assignment. Once they reopen the assignment you will receive an alert that it has been approved and you can then make changes.
Completing assignments in Experiential Learning Cloud
Throughout your placement you will have several assignments you will complete in Experiential Learning Cloud. These assignments are time sheets, monthly reflections, field learning plan and also your two assessments.
To access your assignments you login to Experiential Learning Cloud and you will see
You click on the section that says complete assignments. Once you click that button
you will see the list of assignments for your class. To complete a particular assignment
you will click on the button next to the assignment that says not started. A window
will open that will then say start. Click the start button and the assignment will
open. Your field faculty liaison (as well as your eCampus shell) will give you
more directions on how to complete these assignments.
